- Account information: business name, owner name, email, and mobile number.
- Call data: recordings, transcripts, and metadata (duration, timestamp) from calls handled by your voice AI line, along with the caller's phone number.
- Usage data: minutes consumed, billing status, and plan tier.
How we use it
- To operate the service: answering calls, extracting lead details, and delivering WhatsApp alerts.
- To bill accurately for metered voice AI usage.
- To provide support and respond to account requests.
Third-party processors
We rely on the following subprocessors to run the service. Each only receives the data necessary to perform its function:
- Supabase — database hosting and authentication.
- Vercel — application hosting.
- Anthropic (Claude) — structured extraction from call transcripts.
- Twilio — WhatsApp message delivery.
- Your configured voice AI provider (e.g. Vapi.ai or Bland.ai) — call handling and transcription.
Call recording disclosure
Calls routed through your Callhaven line may be recorded and transcribed for service delivery and quality purposes. You are responsible for ensuring your use of call recording complies with the laws of the jurisdictions in which you operate, including any required caller notifications.
Data retention
Lead records, call logs, and recordings are retained for as long as your account is active, or until you request deletion. You can request deletion of your account and associated data at any time via the contact details below.
Security
Tenant data is isolated at the database level using row-level security, so one business's leads and call logs are never visible to another. Access to platform-wide credentials is restricted to super-admin accounts.
Your rights
You may request access to, correction of, or deletion of your personal data by contacting us. We will respond within a reasonable timeframe.
